| Portfolio board and timeline | Shows current projects by phase or on a timeline; upcoming projects in a second tab; blackout windows from the admin calendar | Portfolio | Admin calendar | Designed for up to 20 concurrent projects |
| Availability of trades and tools | Total, used and available counts for each common tool and trade, and weekly availability | Portfolio, Availability | Resource master, Excel template | Pool sizes are those you enter |
| Schedule | Gantt chart and table of the plan, with dates, durations and float that agree on every screen | Plan, Schedule | Excel, Primavera P6, Microsoft Project | Monte Carlo, critical chain and what-if scenarios are planned |
| Critical path and float | Lists critical activities and their float; flags an activity at or below an admin float limit | Plan, Schedule | None | Float limit is set per facility or project |
| Baselines | Shows what moved against the plan | Plan, Baselines | None | Forecast drill-down is planned |
| Readiness gates | Checks each work package against six gates and shows a go result; waivers and sign-offs need a typed reason and are saved with the name and the date | Controls, Readiness | Spares, ePTW, resource plan | Gate lead times are set in Admin |
| Cost control | Planned value, earned value, actual cost, cost and schedule indices; budget, actual and forecast | Controls, Earned value and Cost | None | Daily actual cost history is planned |
| Risk register | Risks with a score and an owner | Controls, Risk | None | Monte Carlo finish confidence is planned |
| Spares and SAP status | Needed, in stock, short and SAP cover; each short part shows none, request raised or order issued | Supply chain, Procurement | SAP through the PM or the MM module | Does not track delivery or arrival dates |
| Work orders | Five states, task list by activity type, tick, reading and photo tasks, limits on readings, hours, parts used, findings to the planner, handover note, attachments up to 5 MB | Execute, Work orders | Shared MaintWiz work order module; QR scan | No approval, root cause or corrective action step of its own; works offline on transaction screens |
| Permits and isolations | Show on each work order and in the readiness gate; an open permit or isolation blocks closing the package | Execute and Controls | ePTW | Permits are created in ePTW |
| Work packages | Completion from closed tasks, derived status, closure with a reason, reopening | Execute, Work packages | None | None |
| Close-out | Handover, lessons learnt, reports, deferred items, archive of closed projects | Close-out | None | None |
| Executive view | Health matrix, decisions with Approve and Decline, effect in days and money, one timeline of all projects | Exec View | None | Open risks ranked by days at stake is planned |
| Administration | Calendars, shifts, rate cards, tool hire rates, units, planning rules and menu access by role | Admin | None | Named-submenu access is planned |
This data sheet contains no outcome percentages or performance guarantees. Figures appear only where they describe a design limit, such as the number of concurrent projects.
Specification
What are the main specifications?
The module is designed for up to 20 projects at once, organizes work as portfolio, project, work package, work order and task, and uses five work order states and seven gate checks, as the specification table lists.
| Item | Value |
|---|---|
| Hierarchy | Portfolio, project, work package, work order, task |
| Concurrent projects | Designed for up to 20 in one portfolio |
| Work order states | Initiated, work in progress, waiting, completed, reopen |
| Task kinds | Tick, reading with unit and limits, photo |
| Attachments | Up to 5 MB each, with a thumbnail for images |
| Readiness gates | Six checks (materials, resources, predecessors, tools and scaffold, permits and isolations, scope and engineering) and a go result |
| SAP status of a part | None, purchase request raised, purchase order issued |
| Menus | My Day, Exec View, Portfolio, Project, Plan, Supply chain, Controls, Execute, Close-out and Admin |
| Exports | The table behind each supply chain chart exports to Excel; schedules export to Primavera P6 and Microsoft Project |
| Offline | Transaction screens |
Integrations
What does the module integrate with?
The module integrates with SAP through the PM or the MM module, with Excel, Primavera P6 and Microsoft Project, with IoT sources and with ePTW.
See shutdown software vs CMMS vs Primavera P6 for how these systems divide the work. For PM and MM modes see SAP PM shutdown management and SAP MM shutdown materials.
| System | What it does | Direction |
|---|---|---|
| SAP (PM or MM module) | Keeps SAP as the system of record and shows request and order status against each part | Reads status; objects depend on the mode chosen |
| Excel | Loads resources and work from templates; exports tables | Import and export |
| Primavera P6 and Microsoft Project | Exchanges schedules with the planners’ tools | Import and export |
| IoT | Brings in sensor data | Inbound |
| ePTW | Supplies permits and isolations | Inbound |
Roles
Which roles use the module and what do they see?
A central planner sees every menu, a project manager sees every menu except Portfolio until an administrator allows it, and a foreman sees only My Day and the work orders of Execute by default.
A fuller RACI matrix is in shutdown team roles and RACI.
| Role | Default access |
|---|---|
| Central planner | Every menu, including Portfolio |
| Project manager | Every menu except Portfolio, until an administrator ticks it; sees all projects of the facilities the user may access |
| Foreman | My Day and the Work orders submenu of Execute |
| Administrator | Sets access in a grid of roles and menus; changes apply at once |
Administrators can preview the system as another role.

Definitions
Where do the terms on this page come from?
The scheduling, cost, isolation and SAP terms used on this page are defined by public sources: the HHS earned value glossary, the GAO schedule guide, OSHA, HSE and the SAP library. 2,1,3,4,5
| Term | Public definition or rule | Source |
|---|---|---|
| Critical path | The path through a network of dependent tasks with the longest elapsed time; any delay to a task on it delays the finish by the same amount | HHS earned value glossary, GAO schedule guide |
| Float | The time an activity can slip without delaying a later date; float is not contingency | GAO schedule guide |
| Earned value, CPI and SPI | Earned value is completed work valued at its budget; CPI is earned value divided by actual cost and SPI is earned value divided by planned value | HHS earned value glossary |
| Lockout and isolation | Lockout places a lock on an energy isolating device so the equipment cannot be operated; OSHA 1910.147 sets the six steps and HSE HSG253 sets three isolation categories | OSHA 1910.147, HSE HSG253 |
| Reservation and purchase requisition | In SAP Plant Maintenance the system generates both from order components; neither can be created individually | SAP Library |
Definitions are paraphrased; read the source for the exact wording. The module descriptions on this page come from the MaintWiz product requirements, not from these sources.
